Connecting Zoom to HeyARIA

Connect Zoom so your assistant can create a Zoom link when you ask. To use Zoom automatically for meetings you host, also set it as your default video provider. This guide covers connecting Zoom, using it, and removing it.

Before you start

You'll need:

  • A HeyARIA account, with your calendar already connected
  • A compatible Zoom account. Features and meeting-duration limits are determined by Zoom and may vary by account type.

Adding Zoom

  1. Sign in to your dashboard at app.heyaria.cc.
  2. Go to Settings, then Connections.
  3. Find the Zoom card and click Connect Zoom.
  4. Sign in to Zoom if needed, then click Allow on the authorization screen.
  5. You'll return to Settings, under Meetings. You can check that Zoom shows Connected under Connections.

To use Zoom automatically, go to Settings → Meetings, choose Zoom under Default provider, and click Save. Your assistant uses this choice when nobody has requested a specific platform.

Using Zoom with your assistant

Meetings you host

Once Zoom is connected, ask your assistant for a Zoom meeting over email or Slack. Your assistant can create a fresh link and include it in the meeting details. Zoom links are added automatically when Zoom is your Default provider in Settings → Meetings, unless a different platform is requested.

Standing links

A standing link is a meeting link you reuse. Add yours in Settings → Meetings and click Save. When Zoom is connected, your saved Zoom link is a backup for times when your assistant cannot create a fresh link. Change saved links in Settings; they cannot be changed by email or Slack.

Choosing a video provider

In Settings → Meetings, Default provider offers Follow my calendar, Zoom, Teams, and Meet. Choose the one you want and click Save. Connecting Zoom does not change this choice.

What your assistant does not do

HeyARIA coordinates meetings; it does not attend them. It does not join your Zoom meetings, record them, transcribe them, or read recordings or transcripts afterward.

Removing Zoom

From HeyARIA

  1. Sign in at app.heyaria.cc.
  2. Go to Settings, then Connections.
  3. On the Zoom card, click Disconnect and confirm.

From Zoom

  1. Sign in to your Zoom account and open the Zoom App Marketplace.
  2. Click Manage, then Added Apps, or locate HeyARIA in your installed apps.
  3. Select HeyARIA.
  4. Click Remove.

What happens when you remove it

  • Your assistant stops creating Zoom meetings for you.
  • Whether you disconnect in Settings or remove HeyARIA in Zoom, your Zoom tokens are deleted from HeyARIA right away. You don't need to ask us.
  • Meetings already created stay in your Zoom account, and their links keep working. You can review or cancel them in Zoom.
  • Disconnecting Zoom does not delete your HeyARIA account. To delete your account and its other data, follow the account-deletion instructions in our Privacy Policy.

Troubleshooting

The Connect button sends me to a Zoom error page.

Confirm you're signed into the intended Zoom account. Sign out of Zoom, sign back in, and retry the connection.

A meeting was scheduled but there's no Zoom link.

Check Settings → Connections and confirm Zoom shows Connected. Then go to Settings → Meetings and check that Default provider is set to Zoom if you want automatic Zoom links. You can also ask your assistant specifically for a Zoom meeting.

Zoom shows Reconnect needed.

This usually means the same Zoom account was connected to a different HeyARIA account. Go to Settings → Connections and click Reconnect Zoom. Sign in to the Zoom account you want to use and allow access again. Until you reconnect, your assistant cannot create fresh Zoom links and may use your saved standing link instead.

I connected the wrong Zoom account.

Disconnect Zoom in HeyARIA, sign into the desired Zoom account in your browser, then connect again.

Questions we get

Does HeyARIA need access to my Zoom recordings?

HeyARIA's Zoom integration is for meeting coordination. Our Privacy Policy states that we do not access Zoom recordings, transcripts, or meeting content.

Do I need a paid Zoom account?

A compatible Zoom account is required. Features and meeting-duration limits are determined by Zoom and may vary by account type.

Will HeyARIA join my meetings?

No. HeyARIA coordinates the meeting; it does not participate in it.

What happens to my Zoom links if I cancel HeyARIA?

Meetings already created stay in your Zoom account and their links keep working. Your Zoom tokens are deleted when you disconnect or close your account.
